Volunteer Policy

A compassionate guide for safe, mission-aligned service

1. Purpose of This Policy
Vita’s Light exists to bring comfort, dignity, and practical support to individuals and families facing breast cancer. This volunteer policy ensures that everyone who serves with us understands our values, expectations, and safety standards so we can protect the people we serve and create a consistent, welcoming experience.

2. Who This Policy Applies To
This policy applies to all volunteers—whether serving at events, assembling care packages, delivering items, supporting outreach, or assisting with fundraising.

3. Our Values & Culture
Volunteers represent the heart of Vita’s Light. We expect all volunteers to embody:

  • Compassion — meeting every person with empathy and respect

  • Integrity — acting honestly and responsibly

  • Confidentiality — protecting the privacy of survivors and families

  • Community Care — uplifting one another and working as a team

  • Safety — prioritizing physical and emotional well-being
     

4. Volunteer Expectations
General Conduct
Volunteers agree to:

  • Treat all survivors, families, donors, and fellow volunteers with dignity

  • Communicate kindly and respectfully

  • Follow instructions from coordinators or team leads

  • Maintain confidentiality of any personal information learned

  • Ask questions when unsure about a task or boundary

  • Represent Vita’s Light positively in the community
     

Attendance & Communication
Volunteers should:

  • Arrive on time for scheduled activities

  • Notify a coordinator promptly if plans change

  • Respond to communication in a timely manner when involved in active projects


5. Safety & Boundaries
Personal Boundaries
Volunteers must:

  • Avoid giving out personal phone numbers unless approved for a specific role

  • Not enter a family’s home unless part of an approved program

  • Avoid offering medical, legal, or financial advice

  • Maintain appropriate physical and emotional boundaries


Child Safety

  • Volunteers should never be alone one-on-one with a child unless cleared for that role

  • Physical contact must always be appropriate and respectful

 

Health & Wellness

Volunteers should refrain from serving if they are ill or unable to safely perform tasks.


6. Delivery Volunteer Requirements
To ensure the safety of both volunteers and the individuals we serve, all volunteers
participating in care package deliveries must meet the following requirements:

  • Be 18 years of age or older

  • Hold a valid, current driver’s license

  • Use a legally insured vehicle for all delivery activities

  • Follow all traffic laws and safety guidelines while driving

Liability Notice
Vita’s Light is not responsible for any vehicle damage, traffic violations, accidents, injuries or personal property loss that may occur during volunteer delivery activities. Volunteers 
participate in deliveries at their own risk and are expected to maintain appropriate insurance coverage.


7. Confidentiality
Volunteers may learn sensitive information about survivors, families, or internal operations. This information must remain private. Sharing details outside the organization—including on social media—is not permitted.

8. Social Media & Public Representation
Volunteers may share general posts about serving with Vita’s Light but must not:

  • Post photos of survivors or families without written consent

  • Share identifying details about those we serve

  • Speak on behalf of Vita’s Light unless authorized


9. Training & Orientation
Some roles may require brief training. Volunteers agree to complete any required orientation before participating in certain activities.

10. Reporting Concerns
Volunteers should promptly report:

  • Safety issues

  • Boundary concerns

  • Conflicts

  • Any behavior that feels inappropriate or uncomfortable

  • All concerns will be handled with discretion and care.

 

11. Ending or Pausing Volunteer Service

Volunteers may step back at any time.

Vita’s Light may also ask a volunteer to pause or end service if:

  • Safety guidelines are not followed

  • Boundaries are violated

  • Conduct conflicts with our mission or values

This will always be handled respectfully.

 

12. Agreement

By volunteering with Vita’s Light, individuals acknowledge that they have read and agree to follow this policy.
